Enhancements:
Employee Documents is an optional feature of EmployeeMax. It must be activated by customer service. Use this feature to store employee documents on EmployeeMax's server.
For example, you can store:
Resumes
Tax forms (i.e. W4's, I-9's etc)
Legal Documents such as employment contracts, grievance letters etc
The maximum size document that can be uploaded is 800K.
Security:
When uploading a document to EmployeeMax's server, you have the option to encrypt the document. If encrypted, the document is stored on EmployeeMax's server in encrypted form. When you use the encryption option, you supply a password when uploading the document. Each document can have a different password. If the document is uploaded with encryption, you must enter the password to retrieve the document. If you forget the password, the document cannot be retrieved and customer service will not be able to retrieve it.
If a document is uploaded without encryption and you later decide to encrypt it, you need to upload the document again with encryption, then delete the unencrypted version on the server.

QUICK CHECKS ARE HERE! |
WE ARE EXCITED TO ANNOUNCE THAT QUICK CHECK CALCULATION IS NOW AVAILABLE
This is available to all clients, it's easy and quick, it uses the employee's current Year-to-Date data to give you accurate tax calculations.
When you receive the results you will have the option of printing your check immediately. If you don't have your own check stock please complete the order form and return it to service@employeemax.com , or fax it to 413-553-6005. Or, you can simply use your own blank checks and write the check out by hand and give the "report" to the employee as a stub.
QUICK CHECK Step-by-step instructions:
Under "PAYROLL" you will go to "QUICK CHECK" and "ADD A NEW CHECK" (terminated employees will have to have been active during the current year). Select your employee and input your hours or dollars (not both), along with any volunteer deductions (Insurance, 401k....). Save and "SEND CHECKS FOR CALCULATION". This will change the status from 1-"Not Yet Sent" to "2- Sent. Waiting for Calculation". Wait several minutes, then click on "REFRESH", and the Status should change from "2- Sent. Waiting for Calculation" to "3- Calculated. Not Yet Posted".
You can then verify the results by clicking on "Report" (please note if you sent several checks, they will all be in 1 report with multiple pages). Once verified, you can either post your check or delete it if you are not going to issue it to the employee. If posted, the system will save your check as a pending adjustment to BE PROCESSED WITH YOUR NEXT PAYROLL (once posted, you can go to the adjustment screen and view adjustment as if you had keyed it by hand).
Once posted, go to "PAYROLL"/"VIEW PAYROLL REPORTS" and double click on your Quick Check file, load your blank check into your printer and hit print.

IRS Extends Deadline to File 2010 Tax Returns

The Internal Revenue Service (IRS) has announced
that taxpayers have until April 18 to file their tax returns. The IRS reminded taxpayers impacted by recent tax law changes that using e-file is the best way to ensure accurate tax returns and get faster refunds.
Taxpayers will have until Monday, April 18 to file their 2010 tax returns and pay any tax due because Emancipation Day, a holiday observed in the District of Columbia, falls this year on Friday, April 15. By law, District of Columbia holidays impact tax deadlines in the same way that federal holidays do; therefore, all taxpayers will have three extra days to file this year. Taxpayers requesting an extension will have until Oct. 17 to file their 2010 tax returns.
Who Must Wait to File
For most taxpayers, the 2011 tax filing season starts on schedule. However, tax law changes enacted by Congress and signed by President Obama in December mean some people need to wait until mid-February to file their tax returns in order to give the IRS time to reprogram its processing systems.
Some taxpayers - including those who itemize deductions on Form 1040 Schedule A - will need to wait to file. This includes taxpayers impacted by any of three tax provisions that expired at the end of 2009 and were renewed by the Tax Relief, Unemployment Insurance Reauthorization, and Job Creation Act of 2010 enacted Dec. 17. Those who need to wait to file include:
- Taxpayers Claiming Itemized Deductions on Schedule A
- Taxpayers Claiming the Higher Education Tuition and Fees Deduction
- Taxpayers Claiming the Educator Expense Deduction
In addition to extending those tax deductions for 2010, the Tax Relief, Unemployment Insurance Reauthorization, and Job Creation Act also extended those deductions for 2011 and a number of other tax deductions and credits for 2011 and 2012. The Act also provides various job creation and investment incentives including 100 percent expensing and a two-percent payroll tax reduction for 2011. Those changes have no effect on the 2011 filing season.
Additional Information
The IRS will start processing both paper and e-filed returns claiming itemized deductions on Schedule A, the higher education tuition and fees deduction on Form 8917 and the educator expenses deduction, beginning on Feb. 14. People using e-file for these delayed forms can get a head start because many major software providers have announced they will accept these impacted returns immediately. The software providers will hold onto the returns and then electronically submit them after the IRS systems open on Feb. 14 for the delayed forms.
Most other returns, including those claiming the Earned Income Tax Credit (EITC), education tax credits, child tax credit and other popular tax breaks, can be filed as normal, immediately.
Taxpayers with questions should check the IRS website at www.IRS.gov, call the toll-free number, or visit a taxpayer assistance center.
